YouChoose is a service operated by Vantage Chain Advisory Limited, a company registered in England and Wales under registration number 17246743. Our registered address is in London, United Kingdom. We are the data controller for all personal data collected through the YouChoose service.

2. What Data We Collect

Consumers

When you sign up to the YouChoose waitlist or submit a purchase specification, we collect:

9. 09Your purchase confirmation and feedback where you choose to provide these

Retailers

When you register as a participating retailer, we collect:

5. 05The product categories you are registered to respond to
6. 06The bids you submit in response to consumer specifications
7. 07Your purchase confirmation data where you choose to provide this

Admin

Admin users are employees or authorised representatives of Vantage Chain Advisory Limited. We hold admin login credentials and a log of admin actions taken within the platform for security and audit purposes.

3. Why We Collect Your Data and Our Lawful Basis

Consumers

We collect and process your personal data for the following purposes:

1. 01To manage your waitlist sign-up and send you your unique referral link — lawful basis: contract performance.
2. 02To send you your account activation invitation when YouChoose is ready for you — lawful basis: contract performance.
3. 03To receive and process your purchase specifications and match them to registered retailers in the relevant category — lawful basis: contract performance.
4. 04To notify you when bids arrive and when your response window closes — lawful basis: contract performance.
5. 05To send you a follow-up email about your order progress — lawful basis: legitimate interests. Our legitimate interest is ensuring the service is working correctly for you.
6. 06To send you a short feedback question after your purchase is confirmed — lawful basis: legitimate interests. Our legitimate interest is improving the service.
7. 07To comply with our legal obligations — lawful basis: legal obligation.

We do not use your personal data for marketing. We do not share your data with advertising platforms.

Retailers

We collect and process retailer data for the following purposes:

1. 01To manage your registration and account — lawful basis: contract performance.
2. 02To send you purchase specifications in your registered categories — lawful basis: contract performance.
3. 03To notify you of bid outcomes — lawful basis: contract performance.
4. 04To maintain records of bids submitted for audit and reporting purposes — lawful basis: legitimate interests. Our legitimate interest is maintaining the integrity of the YouChoose service.

4. What We Share and With Whom

Consumer identity protection

Consumers are identified within the YouChoose platform by a unique reference number only. Your name and email address are never shared with retailers as part of your purchase specification. Retailers see only your reference number, your product description, your budget tier, and your delivery timeline.

Optional contact detail sharing with your selected retailer

When you select a retailer's bid, you will be given the option to share your name and email address with that retailer to assist with order processing. This sharing is optional and requires your explicit consent at that point. If you do not consent, you will proceed to the retailer's website without any personal data being passed through YouChoose. Where you do consent, we record that consent with a timestamp. The retailer receiving your contact details is responsible for handling that data in accordance with their own privacy policy.

Leaving the YouChoose platform

When you click a retailer's purchase link, you will leave the YouChoose platform and enter the retailer's own website. YouChoose is not responsible for how the retailer's website handles your data once you have left our platform. We recommend reviewing the retailer's own privacy policy before completing a purchase.

Data Processing Agreement with retailers

Retailers who participate in YouChoose are required to handle any data received from us in accordance with UK GDPR and the Data Protection Act 2018. We require each participating retailer to agree to data handling obligations before receiving consumer specifications. These obligations are set out in our Retailer Participation Terms and the accompanying Data Processing Agreement.

Technology providers

We use the following third-party services to operate the YouChoose platform. Each is a data processor acting on our instructions:

1. 01Google LLC — we use Google Forms and Google Sheets to collect and store waitlist sign-up data during the trial period. Google's privacy policy applies to data processed through these services and is available at policies.google.com/privacy.
2. 02Supabase — we use Supabase to store and manage data collected through the YouChoose platform. Supabase's privacy policy applies to data processed through this service and is available at supabase.com/privacy.

We do not sell your personal data. We do not share your personal data with any third party for their own marketing purposes.

5. How Long We Keep Your Data

1. 01Waitlist sign-ups where you never activated an account — 12 months from sign-up, then permanently deleted.
2. 02Active consumer accounts and associated specifications — for the duration of your participation in YouChoose and for 90 days following the conclusion of the trial period or termination of your account, whichever is sooner.
3. 03Completed demand records — 12 months from the date the demand was marked as completed, then permanently deleted.
4. 04Retailer registration and bid data — for the duration of the retailer's participation and for 90 days following termination.
5. 05Admin action logs — 12 months, then permanently deleted.

You may request deletion of your data at any time by contacting us at contact@vantagechainadvisory.com. We will action your request within 30 days.

6. Your Rights

Under UK GDPR and the Data Protection Act 2018, you have the following rights:

1. 01Right of access — you can ask us for a copy of the personal data we hold about you.
2. 02Right to rectification — you can ask us to correct inaccurate or incomplete data.
3. 03Right to erasure — you can ask us to delete your personal data in certain circumstances.
4. 04Right to restriction — you can ask us to restrict processing of your data in certain circumstances.
5. 05Right to data portability — you can ask us to provide your data in a structured, commonly used, machine-readable format.

7. 07Right to withdraw consent — where processing is based on consent, you can withdraw it at any time without affecting the lawfulness of processing before withdrawal.

7. Cookies and Tracking

The YouChoose platform may use essential cookies to maintain your session and ensure the platform functions correctly. We do not use advertising or tracking cookies. If this changes, we will update this notice and seek your consent where required.

8. Changes to This Notice

We may update this privacy notice from time to time. When we do, we will update the date at the top of this document. If we make material changes, we will notify you by email using the address you provided at sign-up.
